Registration Extension

If your postdoctoral training is to be extended beyond the period initially planned, you must submit a request for extension at least one month before the end of your registration, so that your request can be processed in time. This request can be submitted directly via your Synchro Academics Website (Centre étudiant), by completing the “CHE_Prolongation_stage” form.

Before submitting your extension request, you must first verify that you meet the following eligibility requirements:

  • The Université de Montréal's Politique sur les statuts des personnes postdoctorantes stipulates that a postdoctoral training duration cannot be extended beyond five (5) years.
  • Be recommended by the person currently in charge of postdoctoral training and the director of the academic unit concerned (faculty, school, department, program);
  • Be the recipient of a grant or be funded by the supervisor or unit for the duration of the postdoctoral training extension.
  • International postdoctoral trainees must hold, or have applied for, a valid work permit for the duration of the requested extension.

When applying online, you must follow the instructions at the top left of the form and attach the following documents:

  • Formulaire d'acceptation de la personne postdoctorante updated and signed by your supervisor and academic unit. Please only include information concerning your extension.
  • For a postdoctoral trainee who received a fellowship only: include the letter of the award from the funding organization. This letter must stipulate that the fellowship has been obtained on your behalf for a postdoctoral training at the Université de Montréal.
  • For international postdoctoral trainees: if your immigration documents have been renewed since your last registration, please attach the following documents if applicable to your situation:

    • Proof of work permit renewal: your work permit must cover the entire extension period. If you are in the process of obtaining a work permit renewal, you must provide us with the acknowledgement of receipt of your renewal application from IRCC.
    • Passport
    • Permanent residence card

Exceptional Extension of Eligibility

Article 1c) of the Politique sur les statuts des personnes postdoctorantes stipulates that the maximum duration of a postdoctoral training may not exceed five (5) years.

Certain justifiable situations, listed in article 4 (e.g., parental or sick leave), exceptionally allow the maximum period of eligibility to be extended.

To do so, a plea for extension of eligibility must be drawn up by the supervisor and submitted to the Director and Associate Vice-Rector for GPS, if you wish to extend beyond the maximum period of eligibility.

You can send the plea for extension of eligibility, drawn up by the supervisor, along with your updated curriculum vitae (C.V.), to the e-mail address postdoc@esp.umontreal.ca.

We will follow up the request for approval by the Director and Associate Vice-Rector of GPS. Requests are evaluated on a case-by-case basis. A reply will be sent by e-mail.

The extension request must be completed and submitted no later than 30 working days before the start of the extension. Please note that all documents must be uploaded to the file for review. Note that a postdoctoral trainee can apply to only one additional year (or one year and a half for parental leave) of eligibility extension beyond the 5 years duration.
